Position Summary

BSI is seeking a full-time Executive Assistant to provide administrative and executive support to senior leadership within at Offutt Air Force Base, Nebraska.

The Executive Assistant will support daily office operations, manage calendars and correspondence, track deadlines, maintain records, coordinate meetings, and serve as a point of contact between leadership and other organizations. The position requires discretion because the employee will handle sensitive personnel, strategic, and administrative information.

This is a full-time, on-site position supporting one Executive Assistant full-time equivalent (FTE).

Key Responsibilities

The Executive Assistant will:

  • Manage leadership calendars, appointments, scheduling, and meeting coordination.

  • Track deadlines, deliverables, correspondence, and matters that require follow-up.

  • Prepare and edit emails, letters, reports, presentations, spreadsheets, and briefing materials.

  • Perform data entry and maintain electronic records and files.

  • Answer telephone, email, and in-person inquiries.

  • Serve as a point of contact between leadership and external organizations.

  • Attend meetings and conferences and complete follow-up actions as requested.

  • Scan, upload, organize, and maintain Government records.

  • Handle sensitive personnel and Government information in accordance with applicable requirements.

  • Use Microsoft Word, Excel, PowerPoint, Outlook, Teams, and other office systems.

  • Apply military administrative procedures, office practices, and protocol.

  • Maintain working relationships with installation and community organizations.

  • Protect confidential, personnel, strategic, and other sensitive information.

  • Support other administrative and clerical functions required for office operations.

Minimum Qualifications

Candidates must meet all of the following requirements:

  • Associate degree in any field.

  • At least one year of clerical or data-entry experience in an office setting.

  • At least one year of experience working in a military environment.

  • Proficiency with Microsoft Word, Excel, and PowerPoint.

  • Ability to communicate in English in writing, by telephone, and in person.

  • Knowledge of office administration and records management.

  • Strong organizational and deadline-management skills.

  • Ability to maintain confidentiality when handling sensitive information.

  • U.S. citizenship.

Security Requirements

The position requires a Secret clearance. An active Secret clearance is not required to apply. The Government has stated that the selected employee may begin work while the Secret clearance is pending, subject to the required screening, access procedures, and execution of a Non-Disclosure Agreement (NDA).

The selected candidate must be able to:

  • Complete required security and suitability documentation.

  • Complete fingerprinting and criminal and financial background screening.

  • Complete a Standard Form 86 (SF-86), Questionnaire for National Security Positions, or other required security forms.

  • Obtain and maintain installation access.

  • Obtain a Common Access Card (CAC).

  • Obtain and maintain access to required Air Force information systems.

  • Maintain eligibility for the required Secret clearance.

Continued employment on the contract will depend on maintaining required suitability, security, and access eligibility.

Work Location and Schedule

This position is based on-site at Offutt Air Force Base, Nebraska.

The standard schedule is Monday through Friday, 9:00 a.m. to 5:00 p.m., including a one-hour paid meal period. The Government may accommodate an 8:00 a.m. to 4:00 p.m. schedule.

This is not a remote position. Situational or ad hoc telework may be authorized based on Government requirements and approval, but candidates should expect to perform the position on-site.

  • Complete required Government orientation and annual training.

  • Complete Privacy Act and other required information-protection training.

  • Follow Air Force installation security and safety procedures.

  • Maintain a professional workplace appearance.

  • Safeguard Government equipment, records, identification credentials, and information.

  • Meet applicable records-management and information-security requirements.
